Facilitate meetings or create visuals

Facilitator joins a scheduled Teams meeting to support the live discussion. Create is a separate Copilot workspace for images, posters, infographics, videos and other visual content.

Facilitator requires paid Copilot; Create availability varies by Microsoft 365 subscription, service and format.

Facilitator supports the live meeting

📝

Shared notes

Facilitator creates live notes that participants can see and correct while the discussion is still happening.

Decisions and open questions

It can capture outcomes, unresolved issues and follow-up items instead of leaving them buried in a transcript.

⏱️

Agenda and time support

It can work from the meeting agenda, show timers and alert participants when a topic or the meeting runs over time.

Meeting limits that affect the workflow

📅

Scheduled meetings only

Facilitator cannot currently be added to channel meetings, instant meetings or Teams calls.

🌍

External participants have limits

External participants cannot access Facilitator meeting notes, even though internal participants can see real-time updates.

🎙️

Transcription matters later

Turn on transcription when people will need to ask about the meeting after it ends. Some task features may still be in preview.

Create starts with the format

🖼️

Image, poster or banner

Describe the communication goal, choose an available style or brand kit and set the aspect ratio for where the visual will be used.

📊

Infographic or story

Turn a topic or source file into a visual explanation, then review whether the hierarchy and numbers communicate the point accurately.

🎬

Video draft

Create can develop a script, narration and assembled draft from a description or supported source such as PowerPoint, then hand off refinement to Clipchamp.

Create is not only prompt writing

Choose the feature from the moment

🎙️

Use Facilitator

The value is shared structure during a live scheduled meeting: agenda, notes, timing, decisions and follow-up.

🎨

Use Create

The value is producing and refining a visual communication artifact for an audience after choosing the right format.

💡
Key insight

Correct Facilitator's important notes while the group is present. Treat Create outputs as drafts that still need brand, factual and accessibility review.
